TITLE OF POSITION:  Executive Assistant to the Executive Director

NATURE OF POSITION:

Administrative Support:

Responsible for all operations in the Executive Front Office. This includes the oversight and coordination with the receptionist, scheduling of the conference room and harmonizing the schedules of all Department Heads.  Maintains knowledge of the location of all Department Heads during work hours. Attends all Department Head meetings and takes notes for distribution office wide-must use discretion and judgment.  Provides administrative support for the Executive Office as needed. Assists the Executive Office in overload situations by coordinating routine correspondence, filing, making copies, scanning documents, addressing envelopes, etc. Coordinates all building maintenance requests, and frequently inspects the office to prepare and request needed repairs. Provide backup mail services as needed. Assist with expense reports as needed. Answers correspondence on behalf of the National Executive Director and National President.  Maintains tasking list for the National Executive Director, National President, SVP of Support, Field and Member Services. Maintains the travel schedule of the Executive Front Office, as appropriate.  Prepares travel for the Executive Director and National President.

Awards Support:

Responsible for coordination, selection and distribution of the Navy League various awards to active duty and reserve service members, as well as civilian individuals and Navy League councils. Each award is presented for different accomplishments ranging from outstanding leadership to operational excellence to humanitarian service. The largest group of awards, known as the Sea Service Awards are presented to military service members and civilians who have made distinguished contributions to American Sea power. The Sea Service Awards are collected each year in November and processed during December for distribution to their respective selection board in January.  After selections are made in late February or early March, the winners must be contacted and arrangements made for their attendance at the Navy League National Convention. Submissions for awards presented to Navy League members and councils at National Convention are collected in January with selections being made in the March timeframe. The Navy League also presents awards at the various service academies. The selections are made by the academies but are ordered and presented by the Navy League. Broadly speaking the busiest times of the year are in December and January for processing nominations and then and again in April and May after Sea-Air-Space when making arrangements for presenting the awards.

Military Outreach:

Work to support the Events and Meetings department as the primary NLUS representative to coordinate and execute the participation of active duty personnel, including Flag and General Officers, from the US Navy, US Marine Corps, US Coast Guard and US Merchant Mariner at NLUS events. Outreach may also include Senior Executive Service (SES) personnel and political appointees from DOD.
